1 Who We Are

Amplify Labs LLC (“Amplify Labs,” “we,” “our”) is a Wyoming-registered limited-liability company. We operate the Adaptify AI phone-answering platform (the “Service”).

For GDPR purposes Amplify Labs is the data controller for information collected on our public website and a data processor for call data handled on behalf of our customers.

2 Scope

visit adaptify.tech or its sub-domains;
interact with our marketing tools (ROI calculator, live demo, etc.);
use the Adaptify dashboard, API, or voice agent;
contact our sales or support teams.

3 Information We Collect & Why

Account Data: name, email, phone, company, billing contact. Source: you / your employer. Legal Basis (GDPR): Contract (Art. 6 (1)(b))‍
Billing Data: last-4 card digits, ACH token, VAT/TIN. Source: Stripe, QuickBooks. Legal Basis (GDPR): Contract; Legal obligation.
Voice & Transcript Data. Examples: caller audio, metadata, AI transcript. Source: callers routed through your numbers. Legal Basis (GDPR): Processor acting on customer’s instructions
Technical Data: IP, browser, device ID, cookies. Source: your device. Legal Basis (GDPR): Legitimate interest (security & analytics).
Marketing Data: webinar sign-ups, ROI inputs. Source: you. Legal Basis (GDPR): Consent / Legitimate interest

We do not knowingly collect data from children under 13.

4 How We Use Personal Data

Deliver and maintain the Service
Configure & train AI models for your call flow
Generate invoices & process payment
Detect or prevent fraud and abuse
Improve performance, UX, and security
Send product updates & marketing (opt-out any time)

5 Sharing & Disclosure

We never sell personal data. We share it only with:

Sub-processors (AWS, Retell.ai, Twilio, Stripe, etc.).
Legal authorities when we are legally required to respond.
Business transferees if we merge, sell, or transfer assets (we will notify you 30 days in advance).

6 International Transfers

Primary servers are in [AWS region—e.g., US-West-2]. When EU/UK data leaves the EEA/UK we rely on:

7 Retention

Voice recordings & transcripts: [default 30 days] (configurable).
Billing & tax records: 7 years.
Marketing analytics: 24 months, then anonymised or deleted.

TLS 1.3 in transit, AES-256 at rest
Isolated VPC & least-privilege IAM
Annual penetration tests; 24 × 7 monitoring
Role-based dashboard access for customers

9 Your Rights

GDPR / UK GDPR: access, rectify, erase, restrict, portability, object
CCPA / CPRA: know, delete, correct, opt-out of “sharing,” no retaliation
HIPAA (if applicable): access, amendment, accounting of disclosures (via BAA)
